About TVLDays
What is TVLDays?
TVLDays is an entertainment travel platform for agencies that move touring artists, crews and productions. It puts the tour, every flight, every rooming list and every hotel quote in one place, and it is free for the hotels that host them. TVLDays is made by TVLDays, Inc. in Nashville, Tennessee, and opens on October 27, 2026.
Who is TVLDays for?
TVLDays is for the people who book and host entertainment travel: travel agencies and independent agents who book hotels, flights and ground for music tours and productions, the hotels that host those tours, and the tour managers who run the day on the road. See who it’s for.
What is entertainment travel?
Entertainment travel is the travel management behind touring: moving artists, bands, crews and production staff from city to city on a tour routing. It differs from corporate or leisure travel because dates move, room blocks change with the schedule, parties of forty or more travel together, and privacy and late arrivals are the norm.
When does TVLDays launch?
TVLDays opens on October 27, 2026. Agencies that subscribe by November 16, 2026 get the founding rate of $240 per seat per month for their first year. You can get on the list now.
Who founded TVLDays?
TVLDays was founded by Luke Downs, who spent 25 years in the touring industry as a tour manager, tour accountant and global merchandise manager before moving into entertainment travel in 2019. Read the story on the about page.
Where is TVLDays based?
TVLDays, Inc. is based in Nashville, Tennessee. Agencies and hotels can use the platform from anywhere, and agencies can pay in the currency they report in.
How is TVLDays different from spreadsheets, email or a general CRM?
TVLDays is built around the shape of a tour rather than a sales pipeline. Each tour date is a stop with its own city, venue, hotels, flights and ground; when a date moves, everything attached to it is visible. The agent and the hotel work from the same request, rooming list and rider instead of separate copies passed around by email.
For agencies and agents
How much does TVLDays cost?
TVLDays costs $300 per agent seat per month, or $3,000 per seat per year (two months free). Every seat includes the whole platform. Hotels never pay. Agencies that subscribe by November 16, 2026 pay a founding rate of $240 per seat per month for their first year. See pricing.
Are there different plans or tiers?
No. There is one seat and it includes everything: tours, flights, rooming, quotes, the Stagehand assistant, the agency command center and financials. Nothing is held back for an upgrade.
What happens if a payment fails?
If a payment fails there is a 14-day grace period. After that the workspace becomes read-only, with exports still available. An agency is never locked out of a tour in progress.
Can we move a seat from one person to another?
Yes. When someone leaves and someone joins, the seat moves to the new person with no new charge.
Does TVLDays work for independent contractors (ICs)?
Yes. Agencies can run independent contractors inside the same workspace, with commission splits, payable-now balances and printable statements for every contractor.
Can I import bookings I already have?
Yes. Paste a Sabre PNR or forward a hotel or flight confirmation and TVLDays reads it into the right tour. Rooming lists import from spreadsheets, and when the hotel sends its list back, a re-import shows what changed instead of creating duplicates.
How does flight tracking work?
TVLDays checks the live status of every flight leg on a tour every two minutes. When a flight is delayed it shows how late, the reason in plain English, and the weather at the airports involved, and it flags the people and bookings the change affects. Flights are linked to the right tour date automatically for 99.9% of legs.
What is Stagehand?
Stagehand is the AI assistant inside TVLDays. Drop in a document, such as a hotel’s rate sheet or a confirmation, and it builds the quote or booking with you. It also answers how-to questions and walks new agents through the platform.
For hotels
Is TVLDays free for hotels?
Yes. TVLDays is free for every hotel user, always. Hotels can receive requests, send quotes, read riders and keep rooming lists in sync without paying for a seat. Advertising to agents is optional.
How do hotels receive requests on TVLDays?
Requests arrive in the hotel’s RFP inbox already parsed, with dates, room counts by night and the tour attached. The hotel answers with a quote in one place, and the quote goes straight back to the agent.
Does the hotel need a login to read the rider?
No. The hotel rider is sent as a secure page the property can open without logging in, and the hotel acknowledges it there. When the rider changes, the new version replaces the old one and the hotel is asked to acknowledge again.
How does advertising to agents work?
Hotels can place their property in front of agents at the moment they are choosing hotels for a city: on the agent’s dashboard, beside their notifications and at the hotel step of a new booking. At most three hotels share a placement. See advertise.
How are ad impressions and results measured?
TVLDays counts viewable impressions only, using the MRC standard: at least 50% of the ad on screen for at least one second. A rate request sent within 14 days of a click on the ad is credited to the ad.
Security and data
Is TVLDays secure?
Yes. TVLDays is SOC 2 audited, supports SAML and OIDC single sign-on, offers multi-factor authentication to every user (required for admins), separates access by role, and records changes in audit logs. Data is encrypted in transit with TLS 1.3 and at rest with AES-256. See security.
Does TVLDays train AI models on our data?
No. TVLDays does not train AI models on customer data without explicit, opt-in consent at the workspace level.
Can we share the tour with the road without showing prices?
Yes. The agency decides what is shared, and the tour timeline can be shared with the touring party without any pricing on it.
