The deal, in plain language.

1. Who you’re agreeing with.

These terms are an agreement between you and TVLDays, Inc., a Delaware corporation headquartered in Nashville, Tennessee. If you accept them for an agency, hotel or other business, you confirm you can bind that business, and “you” means the business.

2. What TVLDays is.

TVLDays is software for managing entertainment travel. It is not a travel agency, seller of travel, airline or hotel. Bookings, rates and contracts are between agencies, their clients and suppliers such as hotels; TVLDays is not a party to them and isn’t responsible for a supplier’s or agency’s performance.

3. Accounts and workspaces.

• Each agency or hotel has a workspace. Its owner or admins control who is invited and what each person can see.
• Agency seats are for one named person each. Sharing a login isn’t allowed; moving a seat to a new person is free.
• Keep sign-in details secure and tell us at security@tvldays.com if you think an account has been compromised.
• You’re responsible for what happens in your workspace and for having the right to put traveler data into it.

4. Subscriptions and billing.

• Price. Agency seats cost $300 per seat per month, or $3,000 per seat per year, plus applicable taxes, unless your order form says otherwise. Every seat includes the whole platform.
• Founding rate. Agencies that subscribe by November 16, 2026 pay $240 per seat per month (or $2,400 per seat per year) for their first year. After that year, the standard price applies.
• Billing. Subscriptions are billed in advance, monthly or yearly, and renew automatically until cancelled. Seats added mid-term are charged for the rest of the term.
• Price changes. We’ll give at least 30 days’ notice before a price change applies to your next renewal.
• Late payment. If a payment fails, there is a 14-day grace period. After that the workspace becomes read-only, with exports still available, until payment is made. We won’t delete your data for late payment without further notice.
• Cancelling. You can cancel at any time; cancellation takes effect at the end of the current billing period. Fees already paid aren’t refundable except where the law requires.
• Hotels. Hotel users never pay for a seat. Answering requests, reading riders and managing rooming lists are free.

5. Your data.

• You own the content you put into TVLDays. You give us permission to host, process and display it only to provide and improve the service for you, and as described in our privacy policy.
• You can export your data at any time while your workspace is active, and during the read-only period.
• After a workspace is closed, we delete its content within 90 days, except where we must keep records by law.
• We do not sell your data and do not use customer content to train AI models.
• Where you need one, we’ll sign a data processing agreement.

6. Advertising.

Hotels and partners can buy placements that show to agents in TVLDays. Campaigns are reviewed before they run, and we may decline or remove ads that are misleading, unlawful or off-topic. Results are measured as described on our advertising page. Renewal is opt-in, and a campaign can be cancelled in the product. Campaign prices and dates are confirmed when you book.

7. AI and third-party data.

Stagehand and other AI features can make mistakes; check important details, such as rates, dates and names, before relying on them. Flight status, delay reasons, weather, maps and hotel information come partly from third-party sources and may be delayed or wrong. TVLDays helps you see changes sooner, but you remain responsible for confirming travel arrangements.

8. Acceptable use.

Don’t use TVLDays to break the law, send spam, harass anyone, upload malware, probe or overload our systems, access data that isn’t yours, scrape the service, or build a competing product from it. Don’t store payment card numbers or government ID numbers in free-text fields. We may suspend accounts that put the service or other users at risk, and will tell you why unless we legally can’t.

9. Availability and support.

We work hard to keep TVLDays available and will tell you in advance about planned maintenance where we can. Support is by email at hello@tvldays.com. Service levels, if any, are set in your order form.

10. Our property.

TVLDays, its software, design, brand and content belong to TVLDays, Inc. These terms give you the right to use the service during your subscription, not ownership of it. If you send us feedback, we may use it without obligation.

11. Disclaimers.

Except as stated in these terms or your order form, TVLDays is provided “as is” and “as available”, without warranties of any kind, to the extent the law allows.

12. Limitation of liability.

To the extent the law allows, neither side is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data. Each side’s total liability under these terms is limited to the fees you paid TVLDays in the 12 months before the claim, or $100 if you paid nothing. These limits don’t apply to your payment obligations or to either side’s indemnity obligations.

13. Indemnity.

You will defend TVLDays against claims arising from your content or your breach of these terms. We will defend you against claims that the TVLDays service, used as permitted, infringes someone else’s intellectual property.

14. Ending the agreement.

You can stop using TVLDays and cancel at any time. We can end or suspend access for a material breach that isn’t fixed within 30 days of notice, or immediately where needed to protect the service or other users. Sections that by their nature should continue, such as data, liability and governing law, survive.

15. Governing law.

These terms are governed by the laws of the State of Tennessee, without regard to conflict-of-laws rules. Disputes go to the state and federal courts in Davidson County, Tennessee. Before filing anything, please email us; most things get worked out there.

16. Changes.

We may update these terms as TVLDays changes. For material changes, we’ll notify workspace owners by email at least 30 days before they take effect.
